Then read on! This might just be your NEXT BIG CAREER MOVE. This is a full-time position that reports directly to our founder and CEO, while also working closely with other key members of the team. The Director of Operations (DOO) is responsible for creating, implementing, and overseeing the day-to-day business responsibilities, as well as understanding, maintaining, and improving on the company’s core processes and goals to drive business growth. The DOO is responsible for all major operating functions of the company, including in the areas of: communication project management data and file controls marketing content creation facilitating events budget planning and cost control customer service and retention team management The Director of Operations: effectively collaborates with the CEO, realizing the unique contributions, vision, and ideas of the CEO, and filtering and translating those ideas into functional plans and documented processes for the company. meets with CEO and CTO weekly to discuss projects, promotions, business updates, budgets, deadlines and planning. maintains, develops and monitors reporting structures. acts as a project manager, delivering objectives to staff, overseeing and ensuring the completion of all tasks and deadlines related to: project management: identifies and manages all tasks, including one-off projects such as digital product development, and coordinates suppliers and internal team for delivery. marketing: manages deadlines and deliverables, including launches and promotions from concept to execution to post-launch wrap up and debriefs. branding: develops and executes the CEO’s vision and supports staff-related actions. planning: schedules both short- and long-term tasks as part of the company’s planning processes to ensure a high level of productivity. fulfillment: ensures products and programs are delivered on time and that the company over delivers on customer expectations. manages weekly and monthly deliverables of projects through the various team. Supports budget: manages cost control to ensure budgets are on track and completes weekly reporting with assistance of the book-keeping team. manages overall business processes and tasks by working with all team members (such as the paid traffic team, graphic design team, copywriter, programmers etc), getting daily status updates, and ensuring their work is on-brand and of appropriate quality. leads with behaviour and language that models the way for everyone to move together in the same direction, maintaining a mindful eye toward the greater good of the business. conducts the weekly team meeting to discuss business updates, directives, deadlines, and planning and communicates with the team on a weekly basis to keep everyone on the same page. facilitates discussions that encourage team members to participate fully, knowing their voice and input are important. maintains, enhances, and communicates company culture and benefits through actions like: a weekly team message to keep everyone informed of the bigger picture, weekly priorities, key events and milestones, as well as to support a culture of fun and acknowledge and celebrate goals achieved and stellar work completed. celebrating birthdays, anniversaries, and other key dates. managing, planning for, and communicating team vacations and other leave. encouraging inclusive behaviour through language, use of micro-affirmations, and modeling behaviour that matches our company’s initiatives and culture. resolves issues effectively and is comfortable with conflict and able to solve problems in a pragmatic and positive way. ensures the leadership team is operating in a healthy, functional, and cohesive manner. oversees quarterly goals and company scorecard (weekly metrics to keep us on track with our goals), makes suggestions for improving key metrics, and manages implementation of the suggestions that are agreed upon. manages quality control by ensuring consistency of branding, language, links and promotions across all platforms, updates are made, and everything is tested for final check before going live. leads post-project wrap ups to gather data and assets, analyse metrics, and log improvement ideas to ensure growth on future projects. identifies and closes gaps in the organizational chart. ensures health and safety regulations are followed. innovates change. creates and documents procedures. trains team in new procedures.
